Purpose:
Ensure that the Leadership team and employees are administratively supported with high quality, detailed assistance, and pro-active support within content and subject management in all matters related to office management, and general services through a well-established operating model and standard work.
PRINCIPAL ACCOUNTABILITIES:
Manages office supplies, stationery, and equipment.
Manages expenses.
Organizes practicalities for events in alignment with ER team, townhalls, celebrations, off-site gatherings.
Administrative support for budget management, including PR/PO creation and follow up with procurement and finance for invoices execution.
Organizes appointments and meetings (coordinating resources: facilities, catering, video conference calls, issuing information and invites, interviews, arranging agenda oversight, preparation and distribution of presentation materials and meeting minutes.
Arranges visits (Access, transport), acts as focal point for terminal gate access, (welcome, registration, coffee, meals)
Arranges and coordinates travel schedules, reservations and hotel booking with travel agency, and handles transportation requests.
Pro-actively executes preparations of on-demand documentation, summaries and report.
Act as gatekeeper for all terminal furniture/equipment requests, respecting budget and procurement processes and approvals.
Engaging in content and subject management from team meetings and bringing information to fruition to assist with highlighting action plans and tasks for leadership team.
Assists and follows up on specific projects, events and target established.
The position is primarily expected to deliver by following specific company policies in the management of administrative activities. The position is expected to deliver results in a timely & quality manner.
The position is complex in nature.
Who are we looking for:
Bachelor’s degree in business administration or related discipline.
Requires at least five years of experience in private industry.
Proven communication skills in English including strong typing and proofreading skills with ability to produce typed document quickly and accurately in all Microsoft Office programs.
Proficiency in power point, Word and Excel, and in all activities within Microsoft Office.
Possessing outstanding administrative and organization skills, details and results oriented, able to prioritize, multitask, and demonstrate strong ownership.
Possessing excellent interpersonal skills, maintains integrity and embodies a positive attitude.
Works independently in setting priorities, excels in time management and is able to work efficiently in a fast-paced, deadline driven, high pressure environment.
Ability to anticipate and take initiative to manage or collaborate in budget oversight and event coordination.
Use a high degree of tact, discretion, and diplomacy in dealing with sensitive situations, concerned groups and/or individuals, commit to practice a high level of confidentiality and compliance.
Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks.
